### How do I start a project?

Send a plain-language brief through the onboarding form. Choose the service, describe the business problem and desired outcome, answer the service questions, and provide contact, budget and timeline information.

### What information should I include in the brief?

Share the business context, the problem to solve, who will use the result, what exists today, important tools or integrations, your desired outcome, budget ceiling and timing. References, links and known constraints are useful too.

### Do I need finished copy, branding or technical requirements first?

No. Tell us what is ready, what is missing and what you are unsure about. Existing copy, brand assets, access and technical constraints help, but the brief can start from the business problem.

### I am not technical. Can I still work with you?

Yes. Explain the process, people and outcome in ordinary language. You do not need to choose a framework or design the technical solution before submitting a brief.

### What happens after I submit the brief?

We review the problem and scope, then send a written quote with the relevant deliverables, dependencies and timeline. Work starts only after the project is approved under a written agreement and the required payment arrangement is in place.

### Does submitting a brief commit me to a project?

No. A brief gives us the information needed to assess fit and prepare a quote. The engagement begins only if you accept the written project terms.

### What if my brief is incomplete?

Submit what you know and mark the unknowns clearly. Missing information may keep the quote provisional or require clarification before the scope can be fixed; it is better than inventing requirements.

### How do we communicate during a project?

Communication is async-first through written channels and shared project material. The agreement or project plan sets the relevant checkpoints; a daily meeting is not the default.

### How are deposits, invoices and payment schedules set?

The written project agreement sets the fee, deposit or milestone schedule, invoice due dates and accepted payment method. There is no single deposit percentage that applies to every project.

### What is included in the quoted price?

The quote lists the included deliverables, review or revision terms, dependencies, timeline and handoff. Work outside that scope, third-party charges and any optional ongoing work are separate unless the written terms say otherwise.

### Are taxes, hosting, domains or third-party fees included?

The quote or agreement will say what is included. Unless stated otherwise, applicable taxes, domains, platform fees and third-party service charges remain separate from the agency fee.

### How are extra revisions or change requests priced?

The signed project terms define included revisions. A request outside that scope is reviewed first and may change the fee or timeline; it is not started as an unpriced overage.

### Do you offer ongoing work after the project?

Operate & Improve is optional monthly work starting at $500/month or ৳25,000/month, quoted to scope. It can cover maintenance, monitoring, bug fixes, performance work, incremental features and integrations.

## AI & Automation

### What business workflows are worth automating?

Good candidates are repeatable tasks that consume staff time or cause avoidable handoffs: follow-ups, document handling, reporting, intake, data transfer or routine decisions with clear rules. We start with the cost and risk of the current process, not with a preferred tool.

### Do I need AI, or would normal automation be better?

Not every workflow needs AI. We may use rules and ordinary integrations for predictable steps, and AI for tasks such as classification, extraction or drafting where judgment is useful. The simpler dependable option wins.

### Can you connect the tools and systems we already use?

Usually, if the systems provide a usable integration path and the necessary access. Tell us about your CRM, spreadsheets, inboxes, databases, APIs or other tools; the quote will identify access and data constraints.

### Will a person approve important actions?

Important or high-risk actions can include a human approval step. We do not treat unsupervised execution as the default, especially where an error could affect money, customers, access or irreversible data.

### What happens when the automation fails or produces a bad result?

The scope can include validation, guardrails, failure handling, retries and escalation to a person. AI output still needs appropriate review; no model is a guarantee of correct results.

### How do you handle private business data?

We define what data the workflow needs, who can access it and what should be excluded. Share the systems and data categories during scoping, but do not send passwords or unnecessary confidential data through the public chatbot.

### What do third-party AI, API or model costs look like?

Usage-based services and other third-party charges are separate from our project fee unless the written quote says otherwise. We scope the required services and ongoing operation so those costs are visible before implementation.

### What do you need from us to build an automation?

We need the current workflow, examples of inputs and outputs, frequency, the tools involved, the people who approve or own decisions, and what failure looks like. Those details help us avoid automating the wrong step.

## Custom Software

### When does custom software make sense?

It can make sense when spreadsheets, disconnected systems or off-the-shelf software repeatedly block an important operation, and the cost of that friction justifies a tool built around your process. A smaller configuration or integration may be the better answer.

### What kinds of internal tools do you build?

Examples include dashboards, intake and approval systems, reporting tools, staff or partner portals, operational workflows and integrations. The users, decisions and business outcome determine the scope.

### Can you replace a spreadsheet or manual process?

Yes, when the process is understood well enough to preserve the important rules and exceptions. We map what the spreadsheet or manual steps do today, then decide what should be kept, simplified or automated.

### Can you integrate existing systems or migrate data?

We can scope integrations and data migration where the systems and access support it. The plan should identify data quality, field mapping, records to move, testing and cutover; moving everything is not assumed.

### How do you handle users, permissions and internal access?

Users, roles and permissions are part of the scope. We define who can view, change, approve or export information instead of treating every staff member as an administrator.

### Who owns the software and its data?

Client-provided materials and business data remain the client's. Subject to the written agreement and required payment, project-specific deliverables transfer as agreed; the quote and handoff identify the repository, hosting, domain, analytics, CMS, provider accounts, access and documentation. Pre-existing or reusable technology and third-party components remain subject to their owners' rights and licences.

### What happens when the tool needs changes later?

The handoff includes the documentation and access agreed in scope. Future features, workflow changes, training or ongoing maintenance can be scoped separately through Operate & Improve or a new project.

### Do you work on AI-generated, vibe-coded, no-code or inherited apps?

Yes. A demo that now has real users, real data or real business risk is a good reason to review what exists before adding more features.

### What does the paid audit examine?

The audit examines the product or codebase, critical user flows, data handling, authentication and permissions, reliability, performance, security risks, tests, error handling and deployment readiness.

### What does the audit deliver?

It delivers a risk and scope review, prioritized hardening plan and implementation recommendation. It is meant to make the next investment understandable, not to promise that every issue will be fixed in the audit.

### Why is the paid audit first instead of quoting the whole build?

An inherited or AI-generated product can hide risks and unknown dependencies. The paid audit creates an evidence-based scope; implementation is separately quoted after the review rather than guessed from a short description.

### Will you reuse the existing technology or rebuild it?

That is a finding of the audit. We can retain a sound foundation, replace fragile parts, or recommend a sensible rebuild when the current structure makes reliable change more expensive or risky.

### Do I need a full rebuild, or can you fix one risky area?

A full rebuild is not the default. The implementation can target a fragile workflow, security issue, performance problem, test gap, error path or deployment blocker when that is the responsible scope.

### Can our team edit the site after launch?

Yes, if the project includes a CMS. Otherwise the site can be handed off as a more fixed experience, with future content changes scoped as needed. The CMS, editable content and permissions are confirmed in the quote.

### Will the site be usable on mobile and accessible?

Responsive and accessible development is part of the Websites catalog. The exact support level, content responsibilities and any special requirements should be identified in the brief and written scope.

### What happens to our domain, hosting, existing content and third-party accounts?

The brief should list the domain, hosting, content, analytics, integrations and accounts that must be retained or moved. Migration and account setup are scoped explicitly; third-party accounts and charges remain separate unless the agreement says otherwise.

### What do we receive at handoff?

The written scope defines the project-specific code, design, content, assets, repository, access and documentation delivered at handoff. It should also identify the domain, hosting, analytics, CMS and provider accounts to retain or transfer. Ownership and transfer are subject to the agreement and required payment; third-party licences and reusable technology remain with their owners.

Horcrux is a commerce platform for storefronts, catalog and inventory, orders and fulfilment. Current plan and platform details are maintained at https://horcrux.app.

### What is the difference between Horcrux Starter and Essential?

Audience: Bangladesh.

Starter is free with no fixed trial expiry: 10 active products, 100 successfully placed non-test orders per store-anchored monthly usage period, 3 active members including the Primary Owner, one evidence-gated courier-connection slot and the Starter built-in theme only. Cancellation, returns and plan changes do not refund or reset order usage. The first eligible business to reach 100 orders gets a once-only buffer of up to 50 extra orders in that same period; unused buffer expires and later periods return to 100. There is no processed-sales-value cap. Essential is ৳3,690/month after store creation and verified payment; it includes unlimited products and Bangladesh orders, 15 staff accounts and four evidence-gated courier-connection slots. Both plans have a 0% Horcrux transaction fee on Bangladesh sales. Each slot remains subject to current provider release, merchant credentials, coverage and provider terms.

### How much media can I upload on Horcrux Starter?

Audience: Bangladesh.

Starter allows exactly 1,000,000,000 retained bytes (1 GB decimal) for storefront, catalog and branding media. Active, draft and archived product media, retained originals, derivatives and reusable or unattached assets count; each physical object counts once and derivatives count by actual bytes. Core order records, internal backups and system-generated export archives do not count. At capacity, only quota-increasing uploads stop: existing media, records, checkout and exports remain available, with no silent deletion. You get 100 successful original-image uploads or replacements per monthly usage period, plus a one-time 100-upload bonus in the business's genuine first period: 200 initially, then 100, with no rollover. The per-file limit is 10 MB. Replacements count as new operations; deletion does not refund upload usage.

### What conditions apply to a free Horcrux Starter store?

Audience: Bangladesh.

Each Primary Owner/business may have one active, transacting free Starter store. Paid stores and membership in another merchant's store do not use that allowance. Recreation, transfers, downgrade, reactivation or plan cycling cannot multiply the free allowance, initial upload bonus or once-only order buffer. Starter includes basic, non-priority email help for setup blockers and product problems at horcrux@dropoutstudio.co, including access, security, privacy and checkout-failure reports. It does not include done-for-you setup, customization, scheduled calls, dedicated onboarding or account management, guaranteed response or resolution times, or 24/7 staffing. ### Can a Starter store be paused or its limits change?

Audience: Bangladesh.

Under the approved Starter policy, a storefront may enter a reversible pause after 180 consecutive days without meaningful authenticated, store-specific activity or a new order. Activity resets the clock. A pause requires at least 30 days' advance notice and clear unresolved orders, returns, refunds, disputes and required commerce obligations; warnings are planned around day 150. Records, media, dashboard, exports and required after-sales access remain available. Scoped abuse and cost protections cover image processing/storage, email sends/resends, optional AI, analytics ingestion/queries and recurring background work, using bounded retries and deduplication. They are not billing caps, provider usage is separate, and ordinary selling, checkout, security, transactional notices and exports are preserved. Affected existing merchants require at least 30 days' notice before new restrictive commercial rules, with versioned notices and effective dates. Production migrations, delivered notices and effective enforcement are not claimed complete. A future 90-day review will use genuine production usage under the policy; it has not happened and does not automatically change prices or limits.

### Are Horcrux and payment-provider fees the same thing?

Audience: Bangladesh.

Horcrux currently charges a 0% platform transaction fee on Bangladesh sales on both Starter and Essential. A connected payment provider may charge its own processing or settlement fees, and domains or other third-party services can cost extra. Check current platform terms at https://horcrux.app.

### Which payments and couriers does Horcrux support?

Audience: Bangladesh.

COD is sufficient for launch in Bangladesh. Merchant-owned SSLCommerz checkout is optional, BDT-only and settles directly to the merchant when the connection is enabled and verified. Courier availability is release-gated: a plan connection entitlement or adapter does not by itself prove that a provider is currently released, covered or fee-free. Confirm the current release and account requirements before launch.

### Who is responsible for orders and customers on Horcrux?

Audience: Bangladesh.

The merchant is the seller of record: it chooses products and policies, contracts with shoppers, fulfils orders, handles customer service, refunds and disputes, and remains responsible for tax, licensing, product safety, advertising and other duties that apply to its business. The merchant connects its own approved payment and courier accounts; payments settle directly to the merchant. Horcrux provides software and is not the merchant, bank, payment institution, courier, marketplace seller or legal adviser.

### What happens if I cancel or need to leave Horcrux?

Audience: Bangladesh.

Paid-plan cancellation follows the dashboard control and current Horcrux terms; Horcrux does not auto-charge or auto-renew. A missed renewal enters the published 15-day grace period with reminders; checkout is not automatically disabled by nonpayment, and a grace-expired store remains courtesy-access until explicit revocation. Cancellation is a period-end billing state under the current terms, not an immediate shutdown promise. While the store remains eligible, authorized staff can use the dashboard and request an expiring export of merchant-owned core records and original media; an export is not an archive restore. Voluntary closure is recoverable for 30 days before purge, and deletion and retention follow the current terms.

### What does a custom Shopify storefront include?

Audience: Outside Bangladesh.

The service covers brand-specific storefront UX/UI, Shopify implementation, performance and conversion foundations, relevant integrations and production handoff. Catalog, migration, apps, payment, shipping and cutover requirements are scoped to the store.

### Can you redesign or migrate an existing store?

Audience: Outside Bangladesh.

We can assess a Shopify storefront redesign or rebuild. The quote should make products and variants, content, URLs and redirects, customer or order data, apps, integrations and cutover responsibilities explicit; a full migration is not assumed.

### Who owns the store and what costs continue after launch?

Audience: Outside Bangladesh.

For a Shopify project, the client owns the storefront-specific source, repository, delivered assets and documentation after final payment under the agreement; the quote and handoff identify the domain, hosting, analytics, CMS, provider accounts, access and ongoing costs. Shopify keeps its platform runtime and third-party licences remain separate.

### Who owns my store content and business data?

Audience: Bangladesh.

Merchant content and business data remain the merchant's, while Horcrux platform backend, runtime and private infrastructure remain subject to Horcrux's current terms.

### How should I compare a commerce platform with a custom storefront build?

Audience: Outside Bangladesh.

Start with the catalog, payment and shipping needs, operating process, ownership expectations and ongoing budget. Custom Shopify storefronts start at $4,000 through the E-commerce brief.

## Support & Maintenance

### What happens after launch or handoff?

The project closes against the agreed acceptance and handoff terms. We provide the deliverables, access and documentation included in scope; ongoing improvements or support are separate unless the agreement says otherwise.

### Do you offer maintenance after launch?

Yes, as optional Operate & Improve work quoted to scope. It can cover maintenance, monitoring, bug fixes, performance work, incremental features and integrations.

### Who handles hosting, CMS updates and content changes?

The agreement should identify the hosting, CMS, content and account responsibilities. A CMS can let your team make agreed content changes; maintenance or new content work can be scoped separately. Commerce platform hosting belongs to the relevant platform.

### Who owns the website or software after delivery?

Client-provided materials and business data remain the client's. Subject to the written agreement and required payment, project-specific designs, code, content, assets and documentation transfer as agreed; the quote and handoff identify account ownership, access and ongoing provider costs. Dropout Studio and third parties retain pre-existing, reusable or platform technology and their licences.

### What if something breaks after launch?

Tell us what changed and what is failing. We assess whether it is within the agreed project scope, a new request or an external dependency; fixes and future work are handled according to the project terms or a new quote.

### What happens if a third-party service goes down or changes?

Third-party outages, policy changes, feature removals and provider failures are outside our control. We can assess the impact and scope a workaround or replacement, but cannot promise a third party's availability.

### Can we change the product or site later without starting over?

Future work is assessed from the delivered system and its documentation. We can scope an incremental change where the foundation supports it; a rebuild is considered only when the existing constraints make that the responsible option.

## Referral Program

### Which referrals are eligible?

Eligible referrals are for AI & Automation, Custom Software, Prototype → Production and Websites. The referral must become a new client under the program terms; E-commerce, Horcrux, recurring, retainer and monthly subscription fees are excluded.

### How much commission can I earn?

The first eligible one-time project pays 20% of the one-time project fee. An eligible follow-up one-time project from the same client within 12 months pays 10%. Recurring, retainer and subscription fees remain excluded.

### Are E-commerce or Horcrux referrals eligible?

No. E-commerce, Horcrux subscriptions, recurring work, retainers and monthly subscription fees are excluded from this agency referral program.

### When and how is referral commission paid?

Commission is paid as a single payout per eligible project after the client's payment is confirmed. The referral form collects your preferred method: bKash, bank transfer or Wise.

### How long does referral attribution last?

The attribution window is 90 days from the initial introduction. Eligible follow-up one-time projects can earn the 10% rate for up to 12 months from the first project.

### Can I refer myself?

No. Self-referrals are not eligible for commission.

### What other referral rules matter?

Do not misrepresent Dropout Studio's services, pricing or capabilities. The program terms allow commission-rate changes with 30 days' notice and termination by either party with 14 days' written notice.
